Anchorage Women’s Clinic is seeking an experienced Executive/Administrative Assistant. Responsibilities include many different and very important details that keep a 50+ person clinic operating efficiently and effectively. Successful candidate must be organized with excellent attention to detail, be self-directed, and have the ability to follow/track a task to completion.
Responsibilities Include:
- Support leadership team with administrative tasks and special projects
- Coordinate external networking, community and sponsorship events
- Organize clinic meetings, lunches, dinners and other special events
- Coordinate maintenance issues with hospital, visits by repair people (copiers, phones, etc.) and track work orders
- Receive and direct mail and visitors
- Complete monthly credit card reconciliation and other account payable activities
- Assist with Human Resource support duties
- Ensure clinic website is up to date
- Review provider schedules as directed
- Assist with onboarding new provider and professional staff
- Coordinate employee recognition activities (birthdays, anniversaries, etc.)
- Assist in keeping provider certifications up to date as well as medical subscriptions
- Stock office supplies and coordinate special requests for supplies, furniture and office equipment (with the approval of the Administrator)
- Maintain stock of logo and promotional materials, clinic items, business cards, etc.
- Run errands as requested
- Keep a task list and report status and progress
- Work regularly with the management team to develop and implement policies, procedures, and workflows that streamline and enhance administrative processes
Position Requirements:
- Minimum 3 years’ executive/administrative support experience required
- Excellent organizational, communication, and interpersonal skills
- Ability to exercise good discretion in handling sensitive information
- Demonstrated ability to take initiative and keep projects moving forward
- Strong problem-solving and creative thinking skills
- Ability to work independently and as part of a team
- Proficiency in Microsoft Office and other relevant software
- Ability to maintain a high level of professionalism and confidentiality
