Executive/Administrative Assistant

Anchorage Women’s Clinic is seeking an experienced Executive/Administrative Assistant. Responsibilities include many different and very important details that keep a 50+ person clinic operating efficiently and effectively. Successful candidate must be organized with excellent attention to detail, be self-directed, and have the ability to follow/track a task to completion.

Responsibilities Include:

  • Support leadership team with administrative tasks and special projects
  • Coordinate external networking, community and sponsorship events
  • Organize clinic meetings, lunches, dinners and other special events
  • Coordinate maintenance issues with hospital, visits by repair people (copiers, phones, etc.) and track work orders
  • Receive and direct mail and visitors
  • Complete monthly credit card reconciliation and other account payable activities
  • Assist with Human Resource support duties
  • Ensure clinic website is up to date
  • Review provider schedules as directed
  • Assist with onboarding new provider and professional staff
  • Coordinate employee recognition activities (birthdays, anniversaries, etc.)
  • Assist in keeping provider certifications up to date as well as medical subscriptions
  • Stock office supplies and coordinate special requests for supplies, furniture and office equipment (with the approval of the Administrator)
  • Maintain stock of logo and promotional materials, clinic items, business cards, etc.
  • Run errands as requested
  • Keep a task list and report status and progress
  • Work regularly with the management team to develop and implement policies, procedures, and workflows that streamline and enhance administrative processes

Position Requirements:

  • Minimum 3 years’ executive/administrative support experience required
  • Excellent organizational, communication, and interpersonal skills
  • Ability to exercise good discretion in handling sensitive information
  • Demonstrated ability to take initiative and keep projects moving forward
  • Strong problem-solving and creative thinking skills
  • Ability to work independently and as part of a team
  • Proficiency in Microsoft Office and other relevant software
  • Ability to maintain a high level of professionalism and confidentiality
